This position is located at the Jesse Brown VA Medical Center IL. (537)- a Level 1B Complexity VHA Facility and is organizationally aligned under the Environmental Management Service. The primary purpose of the position is to perform administrative functions that include budget, finance, space planning, property management, supply, general administration management, to include the supervision of select administrative & clerical staff.
Planning work to be accomplished by subordinates, setting and adjust short-term priorities, and preparing schedules for completion of work; assign work to subordinates based on priorities, consideration of the difficulty of work and capabilities of Incumbents; Evaluating work performance of subordinates; give advice, counsel, or instructions on work and administrative matters; Interviewing candidates for subordinate positions recommend appointments, promotions and reassignments; hear and resolve complaints, refer group grievances and serious, unresolved complaints to a higher level; Effecting disciplinary measures and recommend action for more serious cases; identify and arrange for developmental and training needs; find ways to improve production and increase the quality of work; develop performance standards.
Performs and monitors established administrative management requirements for an organization with few subdivisions or functions, an organization with well-established administrative requirements, or for an organization with more dynamic administrative requirements. Applies administrative policies, maintains various systems. Drafts correspondence, recommendations, reports, and memoranda related to management and administrative programs and issues.
Provides advice and guidance to managers and employees on questions and situations related to the administrative services provided. Determines pertinent issues and collects relevant information from a variety of sources. Reviews information and applies standard analytical techniques. Coordinates the administrative aspects of office moves, office construction, and other facility improvements including furniture, equipment, telephones, and short term storage.
Works with other offices to arrange and coordinate such activities. Performs property management tasks. Prepares necessary documents for the accession and deaccession of property. Conducts periodic surveys of equipment and property use, recommending action to ensure economical and efficient use of equipment and other property. Identifies and performs routine liaison tasks to support the organizational planning process.
Assists in analyzing program, budgetary, and fiscal data. Monitors expenditures and forecasts changes that require reprogramming of funds for assigned areas of responsibility. Reviews work completion reports to ensure accuracy and compliance with organizational standards. Prepares and assemble charts, data, reports, and narrative and statistical materials provided for on-going organizational planning.
Assists in providing guidance on routine aspects of tasks to support the administration of established quality and productivity programs for the organization. Participates in developing short- and long-range goals and in providing guidance for the organization's quality assurance plan. Generates required reports for key managers and organizations. Performs other related duties as assigned.
