Marine Corps Community Services (MCCS) is looking for the best and brightest to join our Team! Provides administrative and clerical support to MCFTB staff, including but not limited to, printing/assembling training materials and handouts, coordinating session rooms, and reconfirming class attendance. Organizes flow of operational program processes in an office environment. Develops internal policies, procedures and work methods affecting administrative management operations. Establishes status of actions on numerous projects and program operations.
Prepare correspondence and drafts instructions. Facilitates methods for automating reports and correspondence. Maintains correspondence tracking system to ensure timely and accurate completion of tasking issued by higher headquarters. Enforces and trains employees on proper naval correspondence rules and correct grammar, spelling, capitalization and punctuation.
Receives telephone callers, visitors, complaints and outside contacts and directs them to appropriate contacts when necessary. Receives and delivers messages to staff members. Arranges and maintains appointment calendars for staff. Routes incoming mail lo staff and work sections. Establishes suspense dates to collect responses and submits information as required by requests.
Responsible for coordinating marketing to promote awareness, education and provide resources for the MCFTB Program, distributing to installation location. Provides World Class Customer Service with an emphasis on courtesy. Assists customers and communicates positively in a friendly manner Performs other related duties as assigned.
May perform support functions such as gathering statistical data; monitoring and reporting on support budgets; assisting in developing financial plans, obligating funds, liquidating travel claims; maintaining volunteer data in compliance with the Privacy Act.
Maintain stock of office supplies, coordinates scheduling and logistical arrangements for meetings, trainings, special events; preparing and conducting briefs, presentations and training sessions; monitoring and distributing personnel paperwork such as selection and recruitment requests, personnel actions, training notices, performance reviews, position descriptions, individual development plans.
Makes travel arrangements and submits TAD request for MCFTB section staff and volunteers. Initiate, submit and track volunteer reimbursements, Invitational Travel Orders (ITOs), and all required paperwork for MCFTB team members and volunteers. Coordinate all administrative matters pertaining to volunteers Responsible for maintenance of current information on MCFTB websites.
