The incumbent serves as an Administrative Specialist in the Chief of Staff's Office at the Las Vegas Medical Center. This position reports to the Executive Assistant to the Deputy Chief of Staff and performs administrative duties that support the Chief of Staff care lines and the Executive Office.
The Administrative Specialist performs and/or directs special studies and projects as directed by the Executive Assistant or Chief of Staff , some highly confidential and complex in nature. Duties include, but may not be limited to the following: Supports clinical and administrative operations across all care lines and departments, ensuring efficient workflows and consistent alignment with Chief of Staff priorities.
Updates and monitors clinic utilization data, reviews incomplete encounters, tracks unsigned documentation, and conducts daily consult oversight to maintain operational accuracy. Performs clinic audits, processes clinic cancellations, and maintains detailed spreadsheets that track clinic builds and encounter form alignment throughout the healthcare system.
Provides executive-level administrative support, including preparing agendas, summaries, briefing materials, decision logs, and maintaining minutes and documentation for workgroups and executive councils. Compiles, validates, and organizes administrative and operational data for all service areas; runs workload and productivity reports; monitors unsigned notes; and reviews clinic utilization and scheduling metrics to support data-driven decision making.
Manages systems and access as ADPAC, including menu access, system permissions, and administrative configurations for assigned staff; serves as TMS administrator responsible for course creation and attendance tracking for training compliance. Functions as the primary timekeeper for the Chief of Staff's Office and designated service lines, ensuring accurate and timely payroll support.
Oversees administrative onboarding for assigned services, coordinating key requests, IT provisioning, equipment needs, and preparation of orientation materials to ensure seamless staff integration.
