Job Summary

Employee will be assigned to the Office of the Deputy Chief of Staff (Medicine Services), VA Eastern Kansas Healthcare System, Topeka, KS, and is responsible for the coordination, and integration of operational and administrative functions of the clinical services that fall under the scope of the Deputy Chief of Staff (Medicine Services).

Key Responsibilities

***THIS IS NOT A VIRTUAL POSITION, YOU MUST LIVE WITHIN OR BE WILLING TO RELOCATE WITHIN A COMMUTABLE DISTANCE OF THE DUTY LOCATION*** This position involves a multi-grade career ladder. The major duties listed below represent the full performance level of GS-9. At the GS-7 grade level, you will perform assignments of a more limited scope and with less independence. You will progressively acquire the background necessary to perform at the full performance level of GS-9.

Promotion is at the discretion of the supervisor and is contingent upon satisfactory performance, availability of higher-level work, and availability of funds. Duties include, but may not be limited to the following: Has responsibility for the accuracy of clinical data for both clinical and administrative reports and assists on all action items related to this data. Collects statistical data for workload, productivity and efficiency data and any assigned performance measures.

Assists the Supervisory Health System Specialist with administrative support activities related to assigned programs, including data collection, reporting, and program evaluation support. Reviews data, identifies trends, develops recommendations, and assists management with implementation of approved actions. Plans, conducts, and/or manages special projects or studies to analyze, evaluate, and provide recommendations on administrative programs or issues.

Provides operational support for clinical operations and assists management in improving operational efficiency. Has responsibility for clinic set up, coordination, and maintenance, to include researching and troubleshooting clinic schedules.

Responsible for daily review, communication and follow-up of various reports (missed opportunity, clinic utilization statistical summary, delinquent encounters and consults, recall reminders report, and other clinical management data reports). Receives and orients new providers and clinic support staff to clinic operations and administrative functions.

Monitors training requirements for existing staff and notifies respective supervisors of training deficiencies before the training becomes delinquent. Coordinates daily coverage for clinical areas; and coordinates provider schedules. Assists with ensuring messages are triaged and processed properly. Performs other related duties as assigned. Work Schedule: Monday - Friday, 7:30am - 4:00pm or 8:00am - 4:30pm or 8:30am - 5:00p or 9:00am - 5:30pm.
