Job Summary

The Lead Medical Support Assistant serves in the Dental Service Department at the Nebraska-Western Iowa Healthcare System, Omaha, Nebraska. The Lead MSA provides expertise, guidance and direction and has responsibilities related to providing administrative support, coordination, and technical assistance in the planning, development, and maintenance of an effective, comprehensive and integrated provides care to both outpatients and inpatients at the Omaha, Lincoln and Grand Island VA facilities.

These activities include patient management, Advanced Clinic Access/Systems Redesign projects, data collection and analysis for the Dental Service clinic workload, performance improvement programs, fee-basis dental programs, and resident training programs. The employee provides clerical support to the Chief, staff, and residents of Dental Service. Major duties include (but not limited to): Coordinates and maintains overall patient flow of Dental Clinic Teams Receives patients and visitors in person or telephonically. Records and relays messages and/or redirect calls as necessary. Refers to urgent messages and patient information for immediate action. Insure eligibility for care and contacts appropriate staff members for verification. Schedules for appointments and provide information regarding clinic and hospital policies, procedures and locations. Receives and handles concerns ensuring that quality service is rendered in a timely, competent and caring manner. Responds to complex questions and provides advice regarding regulations involving a range of issues. Receives and facilitates treatment of all inpatient and outpatient dental consults. Determines patient eligibility for benefits and schedules and coordinates patient appointment accordingly. Collect, organize, maintain, and ensure the integrity of numerous data collection resources. Prepares new and recurring reports such as quality assurance assessments, annual budget information, expenditures for contracted lab and dental services. Serves as primary manager of dental fee basis programs. Initiates referrals for fee base and community outsourcing programs. Prepare quarterly reports on dental fee basis activity for VISN and VACO, as requested. Keeps staff informed of the status of their education requirements. Tracks performed education by dental staff and residents. Utilizes word processing, spreadsheet and PowerPoint functions of the personal computer, prepares letter and memorandum correspondence. Inputs and tracks work order requests. Enforces policies regarding the scheduling of patients and communication with those who have excessive failure and no-show appointments. Maintains work schedules and patient flow for contracted in-service dental providers. Attends coordinator meetings, disseminates newest information, policy and codes. Maintains, scans and routes dental records to appropriate personnel. Special Duties as assigned. Work Schedule: Monday through Friday, 7:30 am - 4:00 pm Recruitment Incentive (Sign-on Bonus): Not authorized. Permanent Change of Station (Relocation Assistance): Not authorized Student Repayment Program: This occupational series may be eligible for the Student Loan Repayment Program (SLRP), and participation is available for highly qualified candidates. Repayment is limited to $40,000 annually, up to $100,000 in lifetime awards. Pay: Competitive salary and regular salary increases. Parental Leave: After 12 months of employment, up to 12 weeks of paid parental leave in connection with the birth, adoption, or foster care placement of a child. Child Care Subsidy: After 60 days of employment, full time employees with a total family income below $144,000 may be eligible for a childcare subsidy up to 25% of total eligible childcare costs for eligible children up to the monthly maximum of $416.66.
