Job Summary

This position provides Medical Administrative Support to Health Administration Service, and is an integral member of the Health Administration Service team to effectively carry out day to day administrative operations of the clinic. The incumbent is responsible for accurate appointment management and the coordination of all administrative information between the professional staff and the patient.

Key Responsibilities

The Lead Medical Support Assistant (MSA) position serves as the Lead Clerk for all Medical Support Assistant (MSA) to include Medical Records and ROI, Specialty Call Center, Patient Services Assistant and/or Program Support Assistant (PSA) staff and is a foundational role within the VHA Patient Aligned Care Team (PACT) initiative. Patient care is delivered in a team-based model known as the teamlet.

Members of the teamlet include the MSA, a Registered Nurse Care Manager, a Licensed Practical Nurse/Licensed Vocational Nurse and a primary care provider. The Lead MSA will monitor and make work assignment for all MSA's and provide input on performance, resolve daily workplace issues and maintains efficient workflow.

Assignments at this level include but are not limited to: assuring coverage of all areas of responsibility, conducting ongoing audits to ensure compliance with VA guidelines, timely completion of assignments, and generating various Eligibility reports.

Lead Eligibility MSA monitors enrolled patient data base information on a regular basis to perform updates to health insurance data, income assessments for the Means Test and Pharmacy Co-pay Exemption programs as mandated by law. The Lead Eligibility MSA comes under the direct supervision of the Chief Patient Administration Section.

The employee plans and organizes work with general assistance from the supervisor as to meet local and VA-wide time frames to complete the major duties and responsibilities of this position. The Lead Eligibility MSA is responsible for reporting backlogs, difficulties in meeting deadlines, etc to the supervisor.

S/he routinely communicates with providers, care managers, and other allied health professionals using sound interpersonal skills, and is constantly aware of the sensitive information. Otherwise, works independently making decisions based on guidelines, precedents and regulations, and performs duties in such a manner that only minimal supervision is required. Other duties as assigned.
