About the position: This position is Non-appropriated Fund (NAF) and will be assigned to the Aero Club at Offutt AFB.
DUTIES AND RESPONSIBILITIES: The primary purpose of this position is to provide comprehensive administrative support to the Flight Training Center Manager and deliver exceptional customer service for the daily operations of the Le May Flight Training Center. Serves as the primary point of contact, providing daily support to members, prospective students, and visitors in person, via telephone, and by email.
Greets and directs visitors, answers inquiries, and trains other employees in customer care standards. In-processes new students by collecting required documentation. Manages the electronic scheduling of aircraft and flight instruction for members and prospective customers. Researches and compiles operational data and information to support management requirements. Performs routine accounting duties utilizing generally accepted accounting procedures.
Bills customer invoices, processes payments, makes deposits, and maintains dues and pre-paid accounts via computerized systems. Records and tracks daily flight operations revenues, expenses, and flight instruction. Prepares employee payroll sheets and contractor payment invoices. Creates, maintains, and processes records (alphabetical, chronological, or numeric) in accordance with established disposition schedules.
Ensures strict compliance with Personally Identifiable Information (PII) regulations and secure records storage policies. Receives, screens, verifies, cross-references, and archives file materials. Drafts and types correspondence, forms, and instructions with a high degree of accuracy in formatting, grammar, and spelling. Utilizes standard office software (e.g., word processors, spreadsheets).
Tracks and coordinates center purchases (maintenance, supplies, resale) and maintains inventory control for resale merchandise. Performs other related administrative duties as assigned.
