Job Summary

The position serves as a Program Support Assistant for the Spinal Cord Injury (SCI) Service, handling a wide range of clerical and administrative duties to support the mission of the SCI Service line. The role includes active participation in managing the SCI Registry, addressing issues related to the Hub and Spokes facilities registry, and performing daily administrative and clerical tasks that require strong knowledge of the organization and its programs.

Key Responsibilities

Serve as the Spinal Cord Injury (SCI) Registry Coordinator and act as liaison between Hub and Spokes facilities. Monitor the SCI registry daily to ensure accuracy and current population of patients seen at both Hub and Spokes facilities. Assist with patient transfers between spoke sites, private-sector facilities, and other VA medical centers. Assist Veterans with completing record requests and routing documents to appropriate departments.

Review records and reports to verify correct Priority Category and submit Catastrophic Disability documentation when needed. Process SCI admissions, transfers, and discharges in VISTA according to Charlie Norwood VA Health Care System Admission Policy Maintain and update STAT changes to the electronic Bed Management System (BMS) to support optimal patient flow and bed utilization.

Monitor G&L Report for SCI admissions from the Master List and notify the Chief of SCI of admissions assigned to other wards and the SCI unit. Maintain inpatient roster for SCI Chief, physicians, physician assistants, nurse practitioners, and hospitalists. Review ward roster and update admission board as needed. Provide customer service across the medical center by addressing patient inquiries.

Apply facility knowledge to address sensitive issues or refer calls when specific clinical expertise is required. Resolve general concerns without additional referral whenever possible. Work Schedule: 8:00AM to 4:30PM, Monday - Friday Virtual: This is not a virtual position.
