This position serves as a Program Support Assistant (PSA) for Environmental Management Service (EMS) in Salt Lake City, Utah. The employee independently establishes priorities for accomplishment of the various responsibilities inherent within a complex, multi-specialty organization, as well as handling multiple and varied interruptions and additional unpredictable work assignments arising on a day-to-day basis.
***THIS IS NOT A VIRTUAL POSITION, YOU MUST LIVE WITHIN OR BE WILLING TO RELOCATE WITHIN A COMMUTABLE DISTANCE OF THE DUTY LOCATION*** Major duties and responsibilities include: Processes incoming and outgoing materials such as correspondence, reports, memoranda, and other forms of written communication; edits and/or composes letters and reports and reviews correspondence for accuracy and completeness.
Prepares a variety of recurring reports, reviews outgoing correspondence for proper attachments, and consolidates/coordinating submittals of information. Maintains automated systems and program-specific data to track suspense items such as project milestones, progress reports, and compliance strategies.
Schedules appointments, coordinates meetings and/or conferences, reminds staff members and invitees of subject matter prior to meetings, and makes administrative arrangements as required. Provides general clerical and public-contact support services, including answering the telephone, referring visitors, providing information to internal and external customers, screening calls and requests, and forwarding inquiries for timely resolution.
Prepares, executes and/or tracks program-specific information, coordinates incoming data from a variety of sources, reviews documents, reports and/or applications for omissions and inconsistencies, and ensures data entry is complete and accurate. Collects, compiles and/or tracks data and statistical information in support of organizational operations and reviews and reports program data.
Performs timekeeping and time-and-attendance duties, including submission and maintenance of appropriate documentation and arranging orientation schedules as required. Provides procurement support, including serving as liaison to the purchasing/procurement office, arranging for and monitoring equipment, services and products, obtaining and monitoring supplies/equipment, and performing purchase-card-related duties.
Performs records-control duties, including maintaining office files, reviewing records and documents for completeness and accuracy, maintaining files in accordance with applicable rules and regulations, and supporting documentation of employee training and achievement. Performs duties as assigned. Promotion Potential: This position involves a multi-grade career ladder. The major duties listed below represent the full performance level of GS-07.
At the GS-06 grade level, you will perform assignments of a more limited scope and with less independence. You will progressively acquire the background necessary to perform at the full performance level of GS-07. Promotion is at the discretion of the supervisor and is contingent upon satisfactory performance, availability of higher level work, and availability of funds.
