The incumbent is assigned as the Prosthetic Clerk, providing administrative support and coordination in support of the numerous and diverse functional areas within the clinic. The incumbent is assigned under the supervision of the Prosthetics Service Chief in support of all functions related to the day-to-day clerical operation duties of the Prosthetic and Sensory Aids Section.
Confirming eligibility, preparing requisitions, purchasing items, greeting patients, and updating records.
Duties to include but not limited to the following: MAJOR DUTIES: Administrative Support The incumbent greets Veterans at the front desk and inquires what is needed. The incumbent will confirm a request has been entered for prosthetic devices from a physician. The incumbent will issue items from Prosthetic Stock and post to the Veteran's Prosthetic Record (2319) by using the Suspense record in the VistA system.
The incumbent will provide instructions to patients outlining the use of prosthetic devices. If the patient requiring a fitting, or services from the Prosthetic/Orthotic lab, he/she will (if contacted by telephone) connect the patient to the MSA or (when the patient presents in person) contact the MSA directly to ensure that the appropriate appointment is entered into the scheduling system.
The incumbent will document Prosthetic Service's replacement or repair of DME items utilizing the original ICD-10 code submitted by the clinician. The incumbent will receive and sort incoming mail. The incumbent will scan invoices when received and save on the share drive. The incumbent will review the GUI system and recognize Auto Lift Requests and HISA requests and mail out applications.
The incumbent will notify the appropriate staff via email about replacement items that must be mailed out to the patient from the warehouse. Inventory Management & Specialty Areas The incumbent also answers phone calls and assists the Inventory Manager with mail-outs as needed. The incumbent will review consults for eligibility (i.e. verify that there is an order in the system) and take action as necessary.
The incumbent will route consults to the Purchasing Agent team for items that must be ordered (non-stock or out of stock items). Evaluates inventory turnover (usage) to detect inactive stock items and reassess inventory levels for current or suggested stock items. The incumbent will also assist with the Clothing Allowance and Home Improvement & Structural Alterations {HISA) programs by providing applications to patients.
The incumbent will post items issued from CBOCs and any items issued during CPAP Clinic. Purchase Requests The incumbent will also purchase minor items of DME and assist with the Prosthetics Service Card (PSC) program to repair braces, wheelchairs, and prosthetic limbs up to the micro purchase threshold (currently set at $10,000.00).
The incumbent will help review and check in packages in the prosthetic area and warehouse when requested and make the appropriate notes in the Vista System to update the inventory. The incumbent performs other related duties as may be directed by the Chief, Assistant Chief, or Prosthetic Representatives that are required to accomplish the mission of the Prosthetic Treatment Center.
