This position is located in the Office of the Director within VAPAHCS. The Secretary provides comprehensive administrative and clerical support to ensure the efficient functioning of the Director's office managing operations, coordinating communication and scheduling, drafting correspondence, organizing meetings and travel, safeguarding sensitive information, and recommending and implementing procedural improvements that enhance overall productivity.
Major Duties: Assumes full responsibility for administrative and routine matters not requiring the Director's personal attention, serving as the first point of contact for staff, patients, visitors, outside agencies, and dignitaries (80%). Reviews, controls, and drafts correspondence; maintains the Director's calendar with full authority over scheduling and commitments; arranges conferences, meetings, and travel logistics; prepares agendas and minutes.
Instructs and advises secretarial/administrative staff across the health care system on correspondence, reporting, and procedural standards; maintains official files, records, and historical documentation for the Director's office. Serves as primary timekeeper for the Director's Office and alternate timekeeper for subordinate offices. Assesses existing office processes, gathers stakeholder feedback, and recommends/implements workflow improvements (10%).
Serves as alternate suspense coordinator, collaborating with VISN to ensure assigned suspenses are completed accurately and on time (10%). Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level. Work Schedule: Monday - Friday, 8:00a.m. - 4:30p.m.
