The Veterans Health Administration (VHA) has adopted the Center for Development and Civic Engagement / Voluntary Service Modernization Initiative which is a new model of organizing and consolidating essential voluntary functions and services to the Medical Center. This streamlined and focused approach moves VHA forward in its continuum of providing comprehensive, compassionate, and coordinated care to Veterans.
Primary duties of the Voluntary Services Assistant include but are not limited to: Prepares and complies a variety of correspondence, reports, replies, meeting minutes, acknowledgments, statistical material, financial transactions, programs, booklets, transmittal and other material in final form and proper format. Maintains current required files, records and listings of names and addresses of officials of groups, organization and individuals on the local, state, and national level. Collects statistical data for preparation of monthly and quarterly reports and any nonrecurring or special reports. Accurately and timely completes equipment inventory surveys and ensures proper documentation of equipment assigned to the CDCE/Voluntary Service department. Responsible for all communications related to the program to include special events; compiling program data and preparing reports; managing monthly activity calendar and all correspondence. Receives, screens and (when necessary) educates visitors, volunteers, staff, patients and callers, referring them to the proper sources or locations. Responsible for accurate recording of volunteer assignment, volunteer hours service, corrections of errors and distribution of reports. Orders and maintains necessary level of needed forms and office supplies. Independently works on improvement processes with donation distribution interfacing with donors, nurse managers, clinical staff, families and purchase card holders to provide rapid and responsive supplies to individuals in need. It requires a fair amount of standing, sometimes for long periods, walking, climbing stairs, and bending. Work may require some heavy to moderate lifting, transporting of materials, equipment and supplies for special events and other programs. Due to the diverse nature and scope of the work, it may require occasionally working in extreme temperatures (hot or cold). Driving or riding in a vehicle is also required on a routine basis to provide coverage, trainings, or other support at off-site clinics; attend outside community meetings; and support special events.
