The Advanced Medical Support Assistant(s) at the John J. Pershing VA Medical Center in Poplar Bluff was established to ensure high level efficiency for patient access/re-access to the Medical Center and VA Outpatient Clinics, Home Based Primary Care (HBPC) program.

The AMSA works collaboratively with the Patient Aligned Care Teams (PACT) Primary and Specialty Care clinicians, and other professional staff. Duties include, but are not limited to: Accepts and manages telephone calls to the Medical Center or VA Outpatient Clinics; determines the nature of each call and independently responds to administrative inquiries. Refers medical questions to the HBPC nurses and urgent/emergent calls to registered nurses as appropriate.
Responds to inquiries from family members, social workers, or outside sources per instructions and authorization. Schedules, cancels, and reschedules appointments in accordance with VHA national scheduling guidelines; conducts outbound calls to reschedule cancelled appointments as necessary. Schedules and removes patients from the Electronic Wait List (EWL) and New Enrollee Appointment Report (NEAR) per guidelines.
Coordinates with the patient care team to review clinic appointment availability (utilization), monitors clinic schedules to effectively support clinic needs, and makes adjustments as necessary. Monitors pre-appointment information and/or requirements to ensure readiness for patient visits/procedures.
Evaluates patient information and clinic schedule lists to determine whether a patient requires an immediate appointment; informs team members about shared patients (i.e., those receiving care at multiple VA centers or in the community). Identifies incomplete encounters and communicates findings to providers as needed. Properly tracks and reports encounters to the Supervisor or Nurse Manager.
Manages a system for follow-up care such as consults and tests; reviews active/pending consults and recall lists for accuracy and disposition. Completes medication refills, tracks medications via the CMOP database, and completes related documentation as needed. Processes incoming patient secure messages through MyHealtheVet (MHV) and coordinates with the care team as appropriate. Promotes Veteran registration and utilization of MHV.
Develops and maintains effective communication with patients, interdisciplinary teams, VA medical centers, and other agencies, including assistance with inpatient to outpatient discharge communications, communication with non-VA medical facilities, and preparation of correspondence to notify patients of normal lab results. Validates and updates patient demographic information during each interaction to reduce returned mail and contact failures.
Updates information using the Pre-Registration Package; captures and verifies third-party insurance in the Insurance Capture (ICB) system. Applies advanced knowledge of software functions to enter, sort, calculate, retrieve, and revise data in documents with complex formats. Must be proficient in typing speed, accuracy, and grammar. Work Schedule: Monday - Friday, 7:30 AM - 4 PM Pay: Competitive salary and regular salary increases.
