Job Summary

The Advanced Medical Support Assistant provides comprehensive administrative support within the Northeast CBOC, ensuring efficient patient access, accurate scheduling, maintenance of demographic and insurance data, and management of the Electronic Wait List.

The position coordinates daily workflow with PACT/BHIP teams, processes MyHealtheVet and phone messages, supports clinic operations through high-volume scheduling, and assists with release-of-information and Home Health requests.

The incumbent manages complex scheduling functions for one or more outpatient clinics, adjusts appointments in accordance with clinic access contingency plans, and coordinates care when staffing or coverage changes occur. The AMSA receives and screens phone calls courteously, determines the nature of requests, and provides appropriate information using privacy guidelines and established clinic processes.

The AMSA independently prioritizes workload, adjusts work sequencing to meet team needs, and participates in daily huddles and weekly team meetings when coverage permits. The incumbent notifies the supervisor of clinic access issues and ensures timely scheduling within mandated timeframes.

Daily responsibilities include reviewing consults, the Electronic Wait List, recall lists, and patient communications for accuracy and disposition, as well as using the Missed Opportunity Report to conduct patient outreach. The AMSA coordinates administrative services to support continuity of care, distributes post-discharge notifications, and ensures that records received are processed and scanned into CPRS.

The AMSA may distribute and balance workload among staff, direct work in the supervisor's absence, and assume PSA or MSA duties as needed during special projects, workload surges, vacancies, or staff detail assignments. Additional responsibilities include maintaining personnel reports and rosters, managing supplies, conducting audits and surveys, and supporting compliance with Advanced Clinic Access principles.

The incumbent generates and validates patient workload reports, implements quality assurance monitors, prepares administrative documents, and gathers workflow and survey data to support process improvement. The AMSA accurately schedules appointments in collaboration with patients, manages the EWL, and coordinates care to limit unnecessary clinic visits.

The incumbent may assist with Beneficiary Travel vouchers and Health Benefits Unit processes, and perform additional duties assigned to support efficient clinic operations. The AMSA resolves difficult problems, mitigates potential dissatisfaction with VA services, and serves as a technical resource for complex eligibility and scheduling regulations.

The role requires the ability to lead and organize staff across multiple clinical areas, manage high volumes of calls and requests, and work effectively in a busy environment. Paid Time Off: 37-50 days of annual paid time offer per year (13-26 days of annual leave, 13 days of sick leave, 11 paid Federal holidays per year). Selected applicants may qualify for credit toward annual leave accrual, based on prior [work experience] or military service experience. Parental Leave: After 12 months of employment, up to 12 weeks of paid parental leave in connection with the birth, adoption, or foster care placement of a child.

Child Care Subsidy: After 60 days of employment, full time employees with a total family income below $144,000 may be eligible for a childcare subsidy up to 25% of total eligible childcare costs for eligible children up to the monthly maximum of $416.66.

Retirement: Traditional federal pension (5 years vesting) and federal 401K with up to 5% in contributions by VA Insurance: Federal health/vision/dental/term life/long-term care (many federal insurance programs can be carried into retirement) Telework: This position may be authorized for Ad-hoc telework. Telework eligibility will be discussed during the interview process. This is an onsite position.

Telework may be offered when deemed necessary by the department AD-HOC, (Employees who telework on an occasional, episodic, or short-term basis, and have completed required telework training and telework agreement).
