The Equipment, Facilities, and Services Assistant provides technical and administrative support to Facilities Management at the Kansas City VA Medical Center. Manages preventive maintenance tracking, maintains AMES/MERS equipment records, supports facility maintenance contracts as a backup COR, prepares reports, and performs timekeeping and workflow coordination to ensure safe, compliant, and efficient facility operations.
The Equipment, Facilities, and Services Assistant supports Facilities Management Service by maintaining accurate preventive maintenance and equipment records, assisting with facility maintenance contracts, and providing administrative and technical support essential to safe, compliant, and efficient Medical Center operations.
Major duties and responsibilities include, but are not limited to: Implements and maintains Preventive Maintenance (PM) and Building Service Equipment Management programs. Generates monthly PM schedules, updates equipment records in AMES/MERS, and closes out PM work orders. Reviews TJC and OSHA standards, equipment manuals, and VA guidelines to establish proper PM intervals.
Creates and routes work orders, researches delays, and coordinates with shop supervisors to resolve discrepancies. Compiles and prepares maintenance reports including work order status, man-hours, backlog, and equipment downtime. Serves as secondary/backup Contracting Officer Representative (COR) for facility maintenance contracts. Prepares contract specifications, statements of work, purchase requests, and procurement documentation.
Uses VA Fileman and SQL-based systems to query, analyze, and report preventive maintenance and facility data. Trains personnel on the computerized work order system (entry, edits, completion, and status updates). Serves as timekeeper for GS and WG staff, maintaining accurate time and attendance records in VATAS. Assists leadership with budget estimates, fund control point management, and purchase card reconciliation. Performs other duties as assigned.
