Job Summary

The Lead Medical Support Assistant (LMSA) is in the Nursing Service. Acts as unit receptionist and coordinates all administrative duties related to patient admissions, discharges, and transfers. Distribute and balance the workload among employees in accordance with established workflow or job specialization, assure timely accomplishment of the assigned workload, and assure each employee has enough work to keep busy. Keep in touch with the status and progress of work.

Key Responsibilities

Duties include but are not limited to: The Lead Medical Support Assistant works within the Acute Care Service as the primary administrative support for patient admissions, discharges, and transfers. The role serves as the unit's receptionist and manages patient records, verifies physician orders, maintains census information, coordinates communication, orders supplies, schedules follow up appointments, and troubleshoots equipment.

A key responsibility is acting as a work leader: distributing and balancing workload, ensuring timely completion of tasks, monitoring work quality, and keeping supervisors informed of progress. The Lead MSA trains team members, provides ongoing guidance, demonstrates correct work methods, and ensures all inpatient MSAs have the knowledge and skills needed for daily duties.

The Lead MSA position also involves maintaining efficient workflow, resolving daily operational issues, organizing work structures, scheduling staff, ensuring training requirements are met, orienting new employees, and serving as liaison between MSAs and clinical staff to address day-to-day conflicts. Accurate appointment scheduling, policy communication, and quality assurance are critical components of this role.

The LMSA reports to supervisors on staff performance, progress, training needs, and behavioral concerns, and provides input regarding promotions, reassignments, recognition, and personnel requirements. As a work leader, they provide technical direction, train the team, oversee workflow, and ensure timely task completion.

Additionally, they prepare and validate timecards for nursing and non-nursing staff within Patient Care Services/Nursing Service, ensuring accuracy and timely submission for supervisor approval Work Schedule: Full time; Work schedule will be determine upon selection. Telework: No Pay: Competitive salary and regular salary increases.

When setting pay, a higher step rate of the appropriate grade may be determined after consideration of higher or unique qualifications or special needs of the VA (Above Minimum Rate of the Grade). Paid Time Off: 37-50 days of annual paid time offer per year (13-26 days of annual leave, 13 days of sick leave, 11 paid Federal holidays per year)Selected applicants may qualify for credit toward annual leave accrual, based on prior [work experience] or military service experience.

Parental Leave: After 12 months of employment, up to 12 weeks of paid parental leave in connection with the birth, adoption, or foster care placement of a child. Child Care Subsidy: After 60 days of employment, full time employees with a total family income below $144,000 may be eligible for a childcare subsidy up to 25% of total eligible childcare costs for eligible children up to the monthly maximum of $416.66.
