Job Summary

This Mail Clerk position is in Supply Chain Management Service at the VA Togus Medical Center, located at Augusta, ME location. This position is a full-time position.

Key Responsibilities

The primary purpose of this position is to sort and distribute incoming and outgoing mail for the Maine VA Medical Center. Duties include: Employee is responsible for sorting and distributing incoming and outgoing mail. Incumbent is also responsible for daily metering outgoing mail timely and by cost efficient methods determining the most efficient and correct postage rates and submitting detailed mail activity reports on a monthly basis.

Is knowledgeable of all United States Post Office (USPS) terminology in processing and distributing all forms of mail. Utilizes the Hasler Quadient system to determine the most cost effective method of shipping packages, letters, post cards, certified mail, express mail, signature confirmation mail, delivery confirmation mail and other means of shipping.

Employee is responsible for prompt delivery of all mail and packages throughout the Medical Center using an up to date schedule and time efficient means. Incumbent provides first-rate customer service both on the telephone and direct contact with customers and is polite and courteous to all customers. Complies with all regulations, policies and Joint Commission requirements. Maintains a clean, safe work environment.

Protects confidentiality of printed and electronic documents associated with the United States Mail in accordance with the Privacy Act of 1974 and other applicable laws, federal regulations, VA statutes, policies and VHA policy. Employee is responsible for protecting all data from unauthorized release or from loss, alteration or unauthorized deletion and follows applicable regulations and instructions. Employee may serve as an Alternate Timekeeper.

Employee operates various office equipment without error such as copy machines, fax machines, meter machines, hole punchers, and computers and printers. Maintains and updates various logs for sensitive incoming and outgoing mail via Fed Ex, certified mail and express mail. Updates, reports and maintains shared files for VA Directives, VA Handbooks, VA Circulars and VA Notices. Employee may have to operate a vehicle to pick up and or deliver mail on and off campus.

Performs other related duties as assigned. Work Schedule: Monday-Friday 7:00 AM - 3:30 PM Telework: Not Authorized Virtual: This is not a virtual position. Some exceptions to this rule may apply if you have previously acquired tenure under a Title 5 appointment. Interchange Agreements with Other Merit System: Employees who occupy medical or medical-related positions and were appointed under 38 U.S.C. 4701(1) or (3) [formerly 38 U.S.C.

4104 (1) and (3)] must be serving in a full-time position without time limit and have served continuously for at least one year in this other merit system to be eligible to convert to the Title 5 System. Current and former Federal employees must submit copies of their most recent SF-50, (Notice of Personnel Action).The SF-50 must identify the position title, series, grade, step, tenure and type of service (Competitive or Excepted).

In some cases, more than one SF-50 may be required to show a higher grade previously held.
