The Program Support Assistant (OA) for the Primary Care Service is responsible for assisting the (ACOS), Ambulatory Care, and the Director of Primary Care who clinically oversee the entire Ambulatory Care Service: Clinical, Research an Statistical Issues. They will coordinate a variety of projects, functions, studies, and administrative activities for the Primary Care Service.
Duties and responsibilities include, but are not limited to: Schedules coordinating calendar appointments and identify scheduling conflicts and inform the Chiefs of the conflicts so that the issue can be resolved. Serves as the Primary time keeper and will manage and resolve time and attendance issues. Serves as the primary source for all clerical issues arising in the Administrative office and is responsible for resolving these issues as appropriate.
Prepare meeting minutes, memorandum, letters, and track through completion, and will be able to give accurate status on all documents incoming/outgoing from the administrative office. Provide callers with information, answers to inquiry, and can resolve complex matters requiring little or no supervision. Independently handles and manages sensitive personnel information throughout the course of his/her daily activities Maintain files for employees and update as necessary.
Ensures that folders are updated with physician licensures and training. Act as the liaison between Primary Care Chief and HR/Credentialing office by assisting with recruitment and credentialing packages.
