The Primary Purpose of the Position is to perform various administrative and clerical duties in support of the Social Work (SW) Service Care Transitions (Inpatient/Community Living Center - CLC) organizational units to which the incumbent is assigned.
The incumbent performs office automation support using multiple automated programs and software; such as databases, spreadsheets, graphics charting, and multimedia computer equipment/devices in support of the administrative and clerical work.
Duties include but are not limited to: Prepare a wide variety of recurring and nonrecurring reports, correspondence, reports, vitae, training brochures, patient information materials (i.e. handbook, advance directive forms), and other related material and other documents and reviews and finalizes correspondence/ documents prepared by others in handwritten or electronic drafts.
Composes and signs correspondence of a non-technical nature in the supervisor's name or in own name as Program Support Assistant (OA). Consolidates and finalizes information for various reports in accordance with established procedures. Based on knowledge of the program, the incumbent gathers and summarizes information from files and documents for supervisors' use in responding to inquiries, recognizing which information is or is not relevant to issue at hand.
Receives telephone calls, greets visitors, and ascertains the nature of the calls or visits. Incumbent is responsible for answering phone calls for Inpatient/Cle. Based upon knowledge of the programs and operations, refers telephone calls and visitors to appropriate staff or office.
Personally provides administrative and readily available operational information to callers and visitors upon determination of their rights to receive the information; frequently resolves complaints/problems by interpreting, adapting, and applying guidelines to specific situations/issues; and answers substantive nontechnical requests for information which can be provided based on information from records and files or personal knowledge of the Service.
Functions as the lnpatient/CLC ADPAC, troubleshoots technical problems users have with software packages and hardware issues. In this role the incumbent provides a variety of user support assistance such as implementation and support of the services' automated management information systems including VISTA, CPRS, Share Point, etc. Uses and accesses the various VA and Service automated systems and software.
Investigates and reports problems to Information Technology (IT) Service. Loads new users and their personal information into the Office of Information & Technologies electronic permission access system (e-Pas) and submits all e-Pas requests for existing staff, interns and students. Grants access to services shared network folders and mapping and Outlook email distribution groups. Work Schedule: Monday - Friday, 8:00am to 4:30pm Virtual: This is not a virtual position.
