This position predominately involves performance of a variety of administrative and support duties in support of Police Service duties.
Major duties of this position include but are not limited to: Schedules and/or coordinates meetings, appointments, and conferences as instructed. Serves as the primary timekeeper for Police Services. Revises and maintains Police Service files which includes controlled correspondence, sensitive federal and state law enforcement bulletins and information, Records Control Schedule 10-1, law enforcement reports and journals, and other centralized files.
Tracks suspense dates for matters requiring compliance, status or reports, and coordinates with other nationwide VA Police Services, or other Medical Center staff to ensure timely submission. Responds to routine and non-technical requests for information within the scope of VA Police Service. Maintains the Document Tracking Database; a computerized tracking system, for logging all correspondence from within and outside Police Service.
Advises the Chief and Deputy Chief on the practical and technical aspects of office administration, data processing, and files management and performs staff support work in each of these areas.
Directs executive law enforcement officials, prosecuting attorneys, executive leadership, staff, Veterans, and other visitors via face-to-face visits, phone calls, and other methods to appropriate staff assigned to Police Service or the Medical Center requiring knowledge of entire organizational structure and the duties assigned to those areas. Utilizes VA Police reporting systems and other databases.
Processes incoming and outgoing materials such as correspondence, reports, memoranda, and other forms of written communication. Serves as a fund control point clerk for Police Service which includes processing purchase orders, reconciling charges, and other fund control point transactions. Utilizes computer programs and software such as Microsoft Access, Word, Excel, PowerPoint, Outlook, and VA related programs.
