The following are the duties of this position at the full working level. If this vacancy includes more than one grade and you are selected at a lower grade level, you will have the opportunity to learn to perform these duties and receive training to help you grow in this position. Receives telephone calls and personal visitors. Refers those not requiring the manager's personal attention to appropriate office.
Provides information on office functions to those from other organizations and advises manager of contacts which are of a sensitive nature. Establishes overall policies and procedures for correspondence control and routing, requests for personnel actions, travel arrangements, files administration, and internal memoranda throughout all levels of the office.
Provides advice, assistance and training to secretaries and clerical support positions in the subordinate organizational segments; and reviews, coordinates, and assembles the work products of subordinate counterparts as required. Screens incoming correspondence and routes to the appropriate organization, establishing specific response dates and maintaining and monitoring suspense dates.
Maintains a calendar of appointments and commitments for the manager and provides pertinent informational items for conferences and meetings. A college or university degree generally must be from an accredited (or pre-accredited) college or university recognized by the U.S. Department of Education.
