Job Summary

This Transportation Assistant is located within the Business Office service at the Providence VA Medical Center. The position is full-time at 40 hours per week.

Key Responsibilities

The Transportation Assistant acts as primary contact to Veterans for transportation needs. The incumbent works with the Veteran Transportation Service (VTS) Supervisory Mobility Manager for transportation workload forecasting, scheduling design, procedure development, and quality improvement implementation, modification of processes, evaluation, and ongoing operational flow of the Veteran Transportation Services program.

The coordination of transportation function is multi-faceted and diverse. The three major areas of responsibility are: (1) Scheduling, Data Collection, & Tracking Support; (2) Consult Management responsibilities; (3) Program Support responsibilities. The incumbent must have knowledge of clinical services, related software, and programs as they relate to clinical computing and office automation.

Duties include but are not limited to: Performs work involving consult management, appointment scheduling and admissions scheduling. Daily responsibilities include collecting, compiling, and tracking data and statistical information in support of Veteran Transportation Service (VTS). Performs a basic analysis of the data and generates a variety of reports.

Reviews documents, reports and/or applications for omissions and inconsistencies and ensures data entry is complete and accurate. Enters pertinent information into an automated tracking system. Coordinates service practices that decrease waits and delays for patients in all specialty areas.

Utilizes the Veterans Health Information System & Technological Architecture (VISTA), Computerized Patient Record Systems (CPRS) or SharePoint Consult/Request Tracking System in processing internal consultations. Plans for, organizes, administers, and directs how the work will be accomplished for the VTS program.

Planning responsibilities require consideration of support services e.g., systems management, operations, workload forecasting, review, and reporting of data/statistical results of program/project studies, vehicle maintenance and repair, etc. Coordinates the day-to-day operation of VTS program flow, processes, and functions.

Plans and provides support services in the following types of program areas: electronic records management; driver scheduling setup & management; space utilization services. Provides advice to operating managers and supervisors on how provided services assist in accomplishing their missions and programs. Performs other related duties as assigned.

Selection at a lower grade level does not guarantee promotion to the higher level. Notifications: This position is a LIUNA Bargaining Unit position. Current and former Federal employees must submit copies of their most recent SF-50 (Notice of Personnel Action). The SF-50 must identify the position title, series, grade, step, tenure and type of service (Competitive or Excepted). In some cases, more than one SF-50 may be required to show a higher grade previously held.

Interchange Agreements with Other Merit System: Employees who occupy medical or medical-related positions and were appointed under 38 U.S.C. 4701(1) or (3) [formerly 38 U.S.C. 4104 (1) and (3)] must be serving in a full-time position without time limit and have served continuously for at least one year in this other merit system to be eligible to convert to the Title 5 System.

Some exceptions to this rule may apply if you have previously acquired tenure under a Title 5 appointment. This position is covered by locality-based comparability pay. Veterans' preference does not apply for other current permanent Federal agency employees.
