This position is assigned as an Office Automation Clerk in the Office of the Chief, Environmental Management Service (EMS) at the Miami VA Healthcare System. This position performs various clerical and office automation duties in support of the organization, performing office automation duties such as word processing in support of the clerical and administrative work.
***THIS IS NOT A VIRTUAL POSITION, YOU MUST LIVE WITHIN OR BE WILLING TO RELOCATE WITHIN A COMMUTABLE DISTANCE OF THE DUTY LOCATION*** Major duties and responsibilities will include: Using word processing software to create, copy, edit, store, retrieve and print forms, memos, and letters. Using existing database or spreadsheet software to create, enter, revise, sort or calculate, and retrieve data for reports. Performing timekeeping duties.
Attends meetings and conference calls and acts as recorder. Following up on actions pending for all meetings. Also compiles staff minutes and coordinates staff appointments. Using graphics software to provide graphs and charts for reports and presentations. Preparing a wide variety of recurring correspondence, internal reports, and other documents from information/data obtained from office staff files and other sources.
Compose letters, memorandums and reports from general directions and/or knowledge of Facility Management Service programs and data available in files. Maintain and update general files, project files, contracts files for the Chief, Facility Management Service Reviewing and finalizing documents prepared by others. Receives telephone calls and visitors from the general public, National Headquarters, VISN and Medical Center employees.
Screening incoming mail to identify what needs to be brought to the attention of the supervisor, referred to the appropriate staff, or rerouted to other offices. Establishing suspense dates as directed by the supervisor and brings to supervisor's attention those that cannot be met by requested dates. Reviewing outgoing correspondence-for procedural and grammatical accuracy and conformance with administrative requirements.
Maintaining, purging, and disposing of office records/files in accordance with established regulations, and procedures. Responsible for processing new employees' PIV identification cards utilizing a computerized system. Assist in the training of new clerical personnel in preparation of correspondence, minutes, personnel actions, disciplinary actions, reproduction requests, request for supplies, performance appraisal and/or initial/subsequent competence assessments.
