The incumbent serves in the capacity of Staff Assistant for TVHS Facilities Management Service, Maintenance & Operations Section for Nashville and Murfreesboro campuses.
The incumbent is involved in budget costing and contracting, analysis and daily expenditures for supplies and services, administrative work methods and procedures, manpower utilization studies, information and documentation of work associated with Joint Commission accreditation, operating programs and effectiveness.
As the Staff Assistant, the duties include but are not limited to: Involved in budget costing and contracting analysis Plan, coordinate, and carry out fact-finding and analysis of issues in accordance with accepted office policies, applicable precedents, organizational concepts, management theory, and occupational training Follows applicable regulations and instructions regarding access to computerized files, release of access codes, etc., as set out in the computer access agreement that the employee signs.
Disburse information and/or obtain information from the various shop supervisors on tasks relating to the replacement of nonexpendable equipment, annual inventory of equipment, incentive awards, changes to standard operating procedures, etc. Develop routine plans or schedules using standard references and existing information. Identify schedule/time required, and estimate resources required.
Manage daily expenditures for supplies and services, while following reporting controls. Perform administrative work to include the management of the office schedule and/or day-to-day plans. Maintain and serve as liaison or handle the communication with persons and/or groups within the service line at both campuses and outside of the organization.
Develop recommendations based upon analysis of work observations, review of production records or similar documentation, and application of standard administrative guidelines. Protects printed and electronic files containing sensitive data in accordance with the provisions of the Privacy Act of 197 4 and other applicable laws, federal regulations, VA statutes and policy, and VHA policy.
Uses judgment in choosing, interpreting, or adapting available guidelines to specific issues or subjects studied. Make presentations to management on proposed solutions or recommendations. Skill in conducting interviews with supervisors and employees to obtain info11nation about organizational missions, functions, and work procedures. Conducts personal contact with all levels of the medical center personnel.
Determine specific steps, input required, and/or milestones based on defined objectives. Transfer work orders to the correct trade groups using VISTA. Manage time cards for department staff using VATAS. Apply analytical and evaluative techniques to the identification, consideration, and resolution of issues or problems of a procedural or factual nature. Work Schedule: Monday-Friday 7:00am-3:30pm Telework: This position may be authorized for telework for adhoc purposes.
