Job Summary

The Dayton VAMC is looking for a Training Specialist for the Chief of Staff (COS)/Clinic Practice Management (CPM) Service at the Dayton VA Medical Center. The primary responsibility is to serve as the Scheduling Trainer for all schedulers assigned to the Dayton VAMC. The Two (2) page resume limit applies to this position.

Key Responsibilities

Duties include, but are not limited to: Performs analytical and evaluative reviews relating to the development and/or execution of various scheduling operation programs and applications of the Dayton VA and VISN facility. Determines during analysis and scheduler training process, the accuracy and timeliness of the scheduling system and appointments made by key-holders.

Utilizes advanced skills at analyzing and evaluating existing and proposed scheduling operations and services. Presents data, conclusions and recommendations to facility and VISN management officials to ensure scheduling compliance. Responsible for IT security and confidentiality for, but not limited to, data, network or system access, accessibility codes. Develops, obtains, and adapts current instructional material.

Provides remedial and refresher training to staff based on cancellation, appointment and audit data. Develops and implements training programs to ensure that quality provisions are planned, developed and implemented to identify, prevent and correct unsatisfactory conditions which influence the regulatory correctness and responsiveness to facility policies and national scheduling guidance.

Works with the ADAPACs, COS Section Chiefs and COS Supervisor/Leads to develop data capture and electronic reporting procedures to track progress of quality program management initiatives. Analyzes segments of business process or transaction, and identifies indicators, progress measures, objectives and emphasizes areas of action for improvement. Provides training to supervisors and staff and assists in developing polices and standards.

Facilitates development and maintenance of standard operating procedures for administrative staff. Develops and modifies courses, set training priorities, researches and recommends new or alternative training sources for administrative workforce.

Develops, reviews, analyzes, implements, conducts and evaluates training courses and programs related to COS areas such as Access to Care, Scheduling, Telehealth/Connected Care, Special Programs, Telephone Communications, Insurance Collection, Records Management, Consult/Referral Management, Community Care Program as well as training on new directives and processes.

Conducts and evaluates employee training needs assessments in order to provide guidance to COS management and supervisory staff on establishing and operating internal training programs, developing or obtaining/purchasing training aids and selecting appropriate training resources. All other duties as assigned. Work Schedule: Monday-Friday 0730-1600 Telework: This position may be authorized Ad-hoc telework. Telework eligibility will be discussed during the interview process.
